Detail

Purpose

The primary purpose of this workflow action is to simultaneously clear (delete) the values of multiple properties for a contact (or other object) that meets a specific trigger condition.

In standard HubSpot workflows, clearing a property requires using the "Set property value" action to individually set each property to an empty value. In contrast, this custom action allows you to process up to five properties (based on the UI in the video) in a single action.

Use Cases

This feature is extremely useful for data cleansing and process automation scenarios, such as:

  • Deleting Temporary Data: Resetting property values that were used temporarily (e.g., an "Event Date" as shown in the video) after a process, like a form submission or event registration, is complete.
  • Initializing Statuses: Bulk clearing related information for a customer who has completed a specific phase, preparing them for the next process.
  • Data Cleansing: As part of regular maintenance, bulk erasing outdated data (e.g., old address information, past campaign data) for records that meet certain criteria.

Setup and Execution Steps (As seen in the video)

The video demonstrates a flow where updating a specific property ("Event Date") triggers the automatic clearing of three specified properties ("City," "Company Name," and "Country/Region").

Step 1: Check Data Before Execution

  • First, open a test contact (or company) record.
  • Manually enter "test" into the "City" and "Country/Region" fields and save. At this point, the fields contain data.

Step 2: Configure the Workflow Trigger

  • Navigate to the HubSpot workflow editor.
  • The trigger (enrollment criteria) for this workflow is set to activate when the "Event Date" property value has been changed and is known (Has completed: Property value changed).

Step 3: Add the Custom Action

  • Click the "+" icon in the workflow to add a new action.
  • From the action selection panel, choose "Custome Workflow Starter" from the "Integrated apps" section.
  • From the list of custom actions that appears, select "Batch Property Clear Action."

Step 4: Specify Properties to Clear

  • The configuration screen for "Batch Property Clear Action" opens.
  • Here, select up to five properties whose values you want to clear.
  • In the video, the following three properties are specified:
    • Clear Property 1: City
    • Clear Property 2: Company Name
    • Clear Property 3: Country/Region
  • After making the selections, click "Save" to add the action to the workflow.

Step 5: Activate the Workflow and Confirm Execution

  • Turn the toggle switch in the upper-right corner of the workflow editor to "On" to activate the workflow.
  • (Assuming the trigger action was performed for the demo) Navigate to the "Enrollment history" tab.
  • You can see that the record "test@gmail.com" was enrolled in the workflow and that "1. Batch Property Clear Action" executed successfully ("Success").
  • Checking the "Action outputs," the clearedProperties are listed as city, company, country, confirming that all three properties were processed correctly.

Step 6: Verify the Final Result

  • Finally, return to the test contact (or company) record from Step 1 and reload the page.
  • In the "Contact information" section, you can confirm that the "City," "Company Name," and "Country/Region" fields, which previously contained "test," are now all blank (cleared).

By using the "Batch Property Clear Action," you can easily build an automated process to efficiently bulk-delete multiple property values based on a specific trigger.
